1. We started off with the clearance letter we received from VJTI confirming
it as the venue.
2. We moved on to the article of food. We're not clear yet about receipt of
finances. We now plan to have customised cake with Wikipedia logo/Wikipedia
10 logo, a couple of samosas and tea/coffee.
3. Discussions then went on to the events for the day, confirming Barry's
talk, Kundan's talk and Wikipedia videos on loop.
4. We discussed the editing session, where I conveyed that the VJTI article
itself can be used for editing sessions.
5. We also plan to have a session where we show how images can be uploaded
to Wikimedia Commons. We also hope to share the various licenses applicable
for the same. The images will be collected by a photowalk/Wikipedia takes
Mumbai type event on the coming Wednesday/Thursday. The details of the
Wikipedia Takes Mumbai will be updated via a separate email.
At the end of the discussions, the following tasks were alloted:
1. Pradeep: Find the videos which can be played on loop at the event; Small
presentation on Wikimedia Commons uploading work.
2. Moksh: press release (one has been provided by Wikimedia Foundation; we
will localise it) and printing work (brochure)
3. Vivek: Standees, poster design, banner design work
4. Kundan: improvement on his talk to involve a beginner level audience.
Members on the list are also welcome to add to the ideas and help us in our
efforts.

We also need some assistance in designing a banner for Wikipedia Mumbai. We
are planning to design around 5 large colorful banners which can then be
used for the anniversary and later/followup events also.
ps: I am not intending the banners to be have anything like 'Wikipedia 10th
Anniversary' on it. A banner with a theme/message that can be used/re-used
to for future events also is what we would like to have.

The venue is confirmed as the VJTI Hall, we still need a written
confirmation from the authorities granting the hall on the day and time of
the event. (Hope there are no last minute surprises here).
Regarding the menu, we need to order stuff that is strictly billable from a
reliable/branded place.
My suggestion for the menu is as follows.
1) Monginis Cakes (200-300 Numbers).
2) Mc Donald Veg Burger (200-300 Numbers)
3) Tea/Cofeee. (200-300 people).
4) 1 Mongini's cake that Barry will cut to celebrate the 10th Anniversary.
The idea is to spend as less a possible on snacks/refreshments and use
excess funds on stuff that *really matter* like the brochures on how to
start contributing to Wikipedia and Posters/Banners that we can use for our
future events also.
Just spoke to Mahafreed and we can also have a photo walk on a day after the
pre event meeting where we can photograph all the historic monuments in
Mumbai and request Barry to upload it to the commons on the day of the the
10th Anniversary Celebrations.

Another update on the Wikipedia X celebrations.
January 16 falls as the day of the Mumbai Marathon 2011. We therefore have
planned for an event in the morning rather than in the evening. Moksh is
running for the Marathon and I think a few Wikipedians may be running as
well. Hence the central Wikipedia X celebrations in Mumbai will be in the
morning.
We have two venues available - Marathi Granth Sangrahalaya at Dadar and the
Coffee Beans and Tea Leaves in Bandra. We're now checking out venues at St.
Xavier's College, a Parsi school near CST, YMCA and Brabourne Stadium
(adjoining halls).
If any of you have other venue suggestions that are good we'd like to
consider them in advance. We hope to finalize the venue in another day or
two.

I am Vivek Varghese Cherian, one of the volunteers for organizing the 10th
anniversary celebrations of Wikipedia in Mumbai.
We are planning to organize the event tentatively on the 15th of January in
Mumbai and expect a turnout of around 200 people.
We would like to avail of the Free Anniversary Products of Wikipedia that we
can distribute to the attendees.
We are also open to celebrating the event a week later (say on the 22nd
January) as a major public event of Mumbai (The Mumbai Marathon) also falls
on the 15th of January.
Our most sincere apologies for the delay in requesting the Free Anniversary
Products and hope that the case of
the Free Anniversary Products reaching us late will not arise if we
re-schedule the event to the the 22nd of January.
So kindly do ship us the Free Anniversary Products at the earliest.
ps: I'll take personal responsibility of collecting and distributing the
Free Anniversary Products on the day of the event. and you may ship the
products to my residential address which I will mail you off list with a cc
to the core organizing group.

Thanks to Aditya Sengupta for pointers to the guys in VJTI for the venue. I
also spoke with Ankit Daftrey over the phone and he's agreed to revert in 2
days.
We've posted and updated a note here of the tentative venue:

If you plan to participate, please do add your name, so we have a fair idea
of what number of people to expect. We've asked VJTI for a hall that can
accomodate about 50-100 people right now.
We don't want to do much in terms of activity and want to make it as much as
possible a celebration, but these are the things that Vivek Cherian has
suggested:
1) A cake cutting party.
2) A small hands on session on how to edit the Wikipedia and start
contributing straight
away.
3) A small quiz on Wikipedia. (optional).
4) Photos of historic monuments of Mumbai can be uploaded to the
Wikipedia commons.
We're looking for an open hall with minimal seating. We're looking at two
time slots: 10 am to 2 pm OR 4 pm to 8 pm.
